These General Terms & Conditions apply to all bookings, accommodation, and related services provided by Mama’s Homestay. By making a booking, the customer confirms that they have read and accepted these terms.
1. PRICING
1.1 All prices displayed on the website are listed in Vietnamese Dong (VND) and include applicable taxes.
1.2 Prices displayed on the website do not include the following:
- A mandatory travel permit fee of 250,000 VND per person for the Ha Giang border area route, as required by Government Decree No. 34/2014/ND-CP. This fee is collected separately upon arrival.
- A 5% processing fee on payments made by credit card or online transfer (see Section 3).
- Any additional services not included in the booking (e.g. extra meals, drinks, laundry, or activities).
1.3 Mama’s Homestay reserves the right to service prices on the website at any time without prior notice. Price changes do not affect bookings that have already been confirmed and paid for.
2. BOOKING
2.1 Bookings can be made through the following channels:
- Online: Via the Mama’s Homestay website.
- Direct contact: By phone, email, WhatsApp, or Instagram.
2.2 A booking is confirmed once a deposit has been received. Confirmation will be sent via email.
2.3 By completing a booking, the customer confirms that all details provided (names, dates, number of guests) are correct. Customers are encouraged to review their booking details carefully before making payment.
3. PAYMENT
3.1 The following payment methods are accepted:
- Cash (Vietnamese Dong) — no surcharge.
- Credit/debit card (Visa, MasterCard, American Express, JCB, UnionPay) — a 5% processing fee applies.
- Online bank transfer — a 5% processing fee applies.
3.2 A deposit is required at the time of booking to confirm the reservation. The remaining balance is due upon arrival at Mama’s Homestay, at the time of check-in.
3.3 Payment of the balance must be completed before starting the tour at the main office.
3.4 Mama’s Homestay is not responsible for any additional fees charged by the customer’s bank or card issuer.
4. DEPOSIT & CANCELLATION
4.1 The deposit is non-refundable for all cancellations, regardless of the reason or timing.
4.2 In case of a no-show (failure to arrive without prior notice), the deposit is forfeited and the booking is considered cancelled.
4.3 If the customer cancels during the tour or departs early for any reason, no refund will be provided for unused services. But we will always look at any case independitly and can make different choises depending on the case.
4.4 Customers who wish to cancel are encouraged to notify Mama’s Homestay as early as possible via email or WhatsApp so that the reserved spot may be offered to other guests.
5. CHANGES TO BOOKING DATES
5.1 Customers may request a change of check-in or check-out date free of charge if notification is made at least 1 day (24 hours) before the original check-in date.
5.2 Date changes requested less than 24 hours before check-in are subject to room availability. A change fee based on a percentage of the room rate may apply.
5.3 All date change requests must be made via email or WhatsApp. Changes are only confirmed once Mama’s Homestay has sent written confirmation.
6. CHECK-IN & CHECK-OUT
6.1 Check-in time: 14:00 (2:00 PM). Early check-in is subject to room availability and may incur an additional fee.
6.2 Check-out time: No later than 12:00 (noon).
6.3 Check-in is self check-in. Within 1 day before the scheduled check-in date, Mama’s Homestay staff will contact the customer to confirm the expected arrival time and send check-in instructions via email or Zalo.
6.4 Customers must present their booking confirmation email to the receptionist at check-in.
6.5 Reception is open 24 hours a day, 7 days a week.
Tour Guests — Recommended Arrival
6.6 Guests joining a motorcycle tour are recommended to arrive 1 day before the tour starts. Mama’s Homestay offers one complimentary night in the dormitory the night before the tour begins (check-in after 2:00 PM).
6.7 Deposit holders have priority for dormitory bed selection. There are 70 beds available; deposit holders choose first.
7. ROOM CHANGES & SERVICE ISSUES
7.1 Upon check-in, customers have the right to inspect the room. If the room or services differ what was booked on the website, customers may request a room change or service adjustment.
7.2 If the booked room is unavailable due to an issue on Mama’s Homestay’s side, the customer will be offered:
- A free room upgrade, or
- A transfer to another Mama’s Homestay location in Ha Giang.
7.3 If the customer does not accept the proposed alternative, the prepaid room fee will be refunded within 5–10 business days. This is the only circumstance under which a refund is provided.
7.4 Mama’s Homestay operates 3 locations in Ha Giang. If the customer is staying at a branch other than the main location before a tour, a pickup will be arranged between 8:00 AM and 8:30 AM. Customers must be ready in the lobby.
7.5 Services not included in the room booking will be charged separately.
8. TOUR DAY SCHEDULE
On the first morning of the tour at Mama’s Homestay (main location):
- Balance payment: Upon arrival / at check-in.
- Breakfast: 8:30 AM – 9:30 AM (coffee, tea, and Bánh Mì).
- Motorbike practice: 9:00 AM – 10:00 AM.
- Route briefing: 10:00 AM – 10:30 AM.
- Departure: 10:30 AM — please be ready.
Guests at branch locations will be picked up between 8:00 AM and 8:30 AM.
9. TRAVEL INSURANCE
9.1 Mama’s Homestay does not provide travel insurance.
9.2 Customers are required to arrange their own travel insurance before participating in any tour. Insurance should cover, at minimum:
- Accidents and personal injury
- Medical treatment and emergency evacuation
- Trip cancellation or interruption
9.3 Medical facilities in remote northern Vietnam are limited. Advanced treatment may require transfer to Hanoi or another major city. All medical costs are the responsibility of the customer.
10. LUGGAGE & PERSONAL PROPERTY
10.1 Luggage storage is available at Mama’s Homestay during the tour. However, Mama’s Homestay cannot guarantee the safety of items stored in luggage storage.
10.2 Customers are advised to:
- Hand valuable items (passport, cash, electronics) to the receptionist for safekeeping, or
10.3 Mama’s Homestay is not responsible for loss, theft, or damage to personal property during the stay or tour.
11. THIRD-PARTY SERVICES
11.1 During tours, certain services (restaurants, accommodation along the route, local transport, mechanical repairs) may be provided by independent third-party businesses.
11.2 These businesses operate independently. Mama’s Homestay does not control and is not responsible for the actions, omissions, or service quality of third-party providers.
11.3 The room inspection and refusal rights described in Section 7 apply only to rooms operated directly by Mama’s Homestay, not to third-party accommodation along the tour route.
12. COMPLAINTS
12.1 Customers may submit complaints regarding any service by contacting Mama’s Homestay via email or phone.
12.2 All complaints will be acknowledged and handled within a maximum of 3 business days the date of receipt.
12.3 In cases of force majeure, both parties will negotiate to reach a mutual agreement.
13. PRIVACY & DATA PROTECTION
13.1 Mama’s Homestay collects personal information (name, phone, email, address) for the purpose of processing bookings, providing customer support, and delivering services.
13.2 Personal data will not be sold, shared, or rented to third parties, except where necessary to deliver the booked services (e.g. sharing names with partner homestays along the tour route).
13.3 Customers may request access to, modification of, or deletion of their personal data by emailing Mamashomestayhg@gmail.com.
13.4 Photos and videos taken during tours by staff or other participants may be used by Mama’s Homestay for promotional purposes (website, social media, marketing). No personal information (passport details, contact information) will be shared publicly. Customers who do not wish to appear in promotional material may notify Mama’s Homestay at any time.
14. GOVERNING LAW
14.1 These terms are governed by the laws of the Socialist Republic of Vietnam.
14.2 Any disputes shall fall under the jurisdiction of the competent courts of Ha Giang Province, Vietnam.

TOUR PARTICIPATION AGREEMENT & RISK ACKNOWLEDGMENT

By completing a reservation and selecting “I Accept”, I confirm that I have read, understood, and agree to the following conditions for participating in a motorcycle tour organized by Mama’s Station International Travel and Tourism Joint Stock Company. Participation in the tour is conditional upon accepting these terms.
1. NATURE OF THE ACTIVITY & ACCEPTANCE OF RISK
1.1 Motorcycle travel in the mountainous region of the Ha Giang Loop in Ha Giang Province, Vietnam involves significant inherent risks. These risks include, but are not limited to:
- Motorcycle accidents or traffic collisions
- Difficult mountain roads, gravel surfaces, steep terrain, and sharp curves
- Weather conditions including rain or fog
- Landslides or other natural hazards
- Mechanical failures
- Illness or injury during the tour
- Limited access to advanced medical facilities in remote areas
1.2 By participating in this tour, I acknowledge that these risks exist and cannot be completely eliminated even when reasonable precautions are taken. I voluntarily accept these risks.
2. RESPONSIBILITIES OF THE TOUR OPERATOR
2.1 Under the Vietnam Tourism Law 2017 (Law No. 09/2017/QH14), tourism service providers must take reasonable measures to support the safety of tourists and provide services according to the agreed tour program.
2.2 Mama’s Station agrees to:
- Provide information about the tour route and itinerary
- Provide guides or Easy Riders when included in the tour package
- Take reasonable safety measures during the tour
- Assist participants in emergencies when reasonably possible
2.3 Participants acknowledge that tours take place in remote mountainous regions where conditions may be unpredictable and emergency services may be limited.
3. THIRD-PARTY SERVICES
3.1 During the tour, certain services may be provided by independent third-party businesses, including:
- Restaurants and food providers
- Homestays or accommodation providers along the route
- Local transportation services
- Mechanical repair services
- Other local service providers
3.2 These businesses operate independently and remain responsible for the services they provide. Mama’s Station does not control these businesses and cannot be held responsible for their actions, omissions, or service quality.
4. MOTORCYCLE OPERATION & RIDER RESPONSIBILITY
4.1 Participants who choose to operate a motorcycle themselves confirm that they:
- Possess a valid motorcycle license legally recognized for use in Vietnam
- Have sufficient riding experience to safely operate a motorcycle in mountain conditions
- Understand and will follow Vietnamese traffic laws
4.2 Participants accept full responsibility for operating the motorcycle. If a participant chooses to ride without a valid license or without sufficient experience, they accept responsibility for any consequences, including accidents, injuries, vehicle damage, and legal penalties or fines.
4.3 Mama’s Station is not responsible for accidents resulting illegal or unsafe riding.
5. EASY RIDER PASSENGER TRANSPORT
5.1 Participants who ride as passengers with an Easy Rider acknowledge that motorcycle travel still involves inherent risks.
5.2 Passengers agree to:
- Wear a helmet at all times while riding
- Follow safety instructions the driver
- Remain seated properly
- Not interfere with the operation of the motorcycle
5.3 Mama’s Station selects drivers with local riding experience and knowledge of the route. However, accidents may still occur due to road conditions, weather, or actions of other road users.
5.4 The tour operator will provide reasonable assistance in case of accident or emergency but cannot guarantee the prevention of accidents.
6. ALCOHOL & SUBSTANCE USE
6.1 Operating a motorcycle under the influence of alcohol or drugs is illegal under Vietnamese traffic law and extremely dangerous.
6.2 Participants agree that they will:
- Not operate a motorcycle while intoxicated
- Ride with an Easy Rider or use alternative transport if they consume alcohol
- Accept responsibility for any consequences resulting riding under the influence
6.3 Mama’s Station reserves the right to:
- Refuse motorcycle access to intoxicated participants
- Require intoxicated participants to ride as passengers
- Remove participants the tour if their behavior creates a safety risk
6.4 Any accidents or legal consequences resulting alcohol or drug use remain the responsibility of the participant.
7. MOTORBIKE DAMAGE & RECOVERY RESPONSIBILITY
7.1 Motorcycles used during the tour remain the property of Mama’s Station or its partners.
7.2 Participants agree to operate the motorcycle responsibly and follow safety instructions.
7.3 Participants may be responsible for repair or replacement costs if damage results from:
- Reckless or unsafe riding
- Riding under the influence of alcohol or drugs
- Violation of Vietnamese traffic laws
- Operating the motorcycle without a valid license
- Ignoring safety instructions guides
7.4 If a motorcycle becomes damaged or abandoned due to the participant’s actions, the participant may also be responsible for reasonable costs related to:
- Vehicle recovery and towing
- Transport of the motorcycle
- Necessary repairs
7.5 Normal mechanical failures not caused by the participant remain the responsibility of the tour operator.
8. PERSONAL HEALTH & TRAVEL INSURANCE
8.1 Participants confirm that they:
- Are physically and mentally capable of participating in the tour
- Do not have medical conditions that make participation unsafe
- Have appropriate travel insurance covering accidents and medical treatment
8.2 Participants acknowledge that medical facilities in remote northern Vietnam may be limited and that advanced treatment may require travel to Hanoi or other major cities.
8.3 Participants remain responsible for all medical costs.
9. COMPLIANCE WITH VIETNAMESE LAW
9.1 Under the Vietnam Tourism Law 2017 (Law No. 09/2017/QH14), tourists must:
- Comply with Vietnamese laws and regulations
- Respect local customs and culture
- Follow safety instructions provided by tourism service providers
9.2 Participants agree to comply with all Vietnamese laws, including traffic regulations. Any fines, penalties, or legal consequences resulting a participant’s actions remain the responsibility of the participant.
9.3 Police-related charges incurred by Mama’s Station due to a participant’s actions will be passed on to the responsible individual.
10. PERSONAL PROPERTY
10.1 Participants are responsible for their personal belongings during the tour.
10.2 Mama’s Station is not responsible for loss, theft, or damage to personal property.
11. TOUR CHANGES FOR SAFETY REASONS
11.1 Mountain travel conditions may change due to weather, landslides, road damage, or safety concerns.
11.2 For safety reasons, Mama’s Station reserves the right to modify the route, itinerary, accommodation, or daily schedule when necessary. Such decisions are made to protect the safety of participants and staff.
11.3 No refund is provided for route or schedule changes made for safety reasons.
12. LIMITATION OF LIABILITY
12.1 To the maximum extent permitted under Vietnamese law, Mama’s Station and its staff are not liable for:
- Injuries resulting the inherent risks of motorcycle travel
- Accidents caused by participant behavior or riding ability
- Acts or negligence of third-party service providers
- Weather conditions, road hazards, or natural events
- Loss or damage to personal belongings
12.2 Nothing in this agreement excludes liability where such exclusion is prohibited under Vietnamese law.
13. EMERGENCY SITUATIONS
13.1 Participants authorize Mama’s Station to assist in arranging medical care or evacuation if the participant is injured or unable to make decisions.
13.2 All associated costs remain the responsibility of the participant unless covered by insurance.
14. PHOTO & MEDIA CONSENT
14.1 During the tour, photos and videos may be taken by guides, staff, or other participants.
14.2 By participating in the tour, participants grant permission to Mama’s Station to use photographs or videos taken during the tour for promotional purposes, including use on the company website, social media platforms, and marketing materials.
14.3 No personal information such as passport details or contact information will be shared publicly.
14.4 Participants who do not wish to appear in promotional material may notify Mama’s Station at any time.
15. GOVERNING LAW & JURISDICTION
15.1 This agreement is governed by the laws of the Socialist Republic of Vietnam.
15.2 Any disputes arising participation in the tour shall fall under the jurisdiction of the competent courts of Ha Giang Province, Vietnam.
All disputes, claims, and litigation regarding the Services shall first be settled by way of discussion and mutual understanding. case such negotiation and agreement might neglect, the disputes, claim, or litigation shall be finally resolved by the mediation of the Vietnam International Arbitration Centre (VIAC) at the Chamber of Commerce and Industry of the Socialist Republic of Vietnam. All claims must be submitted in writing within 30 days after the end of this Services.
CONFIRMATION
By selecting “I Accept”, I confirm that:
- I have read and understood this agreement
- I accept the risks associated with motorcycle travel in Ha Giang
- I agree to follow Vietnamese law and safety instructions
- I have arranged appropriate travel insurance
- I accept the responsibilities described above
I agree to these terms voluntarily as a condition of participating in the tour.
